Job Summary
Primary responsibility includes coordinating large festivals and events for the Parks & Recreation Department. Coordinates, manages, and organizes city major events and festivals. Works under limited supervision with considerable latitude for the use of initiative and independent judgment. Works closely with Communications Department for promotion and branding of events. Functions as a planner and coordinator for several festivals and events; must apply a significant degree of initiative and independent judgement; interfaces frequently with City management, City staff and volunteers to present recommendations for web communications and City sponsored events. Performs other related work as required.
Essential Job Functions and Other Important Duties
Coordinates and oversees special event preparation and marketing/promotional activities for the Parks and Recreation Department to include, but not limited to: Slice of Pflugerville, Deutschen Pfest, Pfestival of Lights and Christmas Parade, Music in the Park, Rock the Block, Egg Palooza, Parks and Recreation Month events, and other events as assigned.
Organizes ribbon cuttings for new parks and facilities.
Works closely with other city departments to facilitate event marketing and logistics.
Serves as liaison to vendors, artists, performers, and community organizations.
Creates after-action reports to review event efficiency through surveys, metrics and in-person feedback.
Creates both digital and print media, promotional materials, event maps, booklets and other event materials as needed.
Assists with maintaining Parks and Recreation web pages, website content, and social media profiles for the Department.
Creates and implements new and/or revised processes and procedures to increase Department efficiency.
Assists with budget preparation for special events and marketing initiatives for the Parks and Recreation Department.
May plan, assign, train and/or supervise the work of others.
Performs related work as assigned.
Job Qualifications
Formal Education: Associate's degree in communications, recreation, business administration, marketing, or a related field
Relatable Work Experience: Three (3) years of experience in recreation/event planning and/or communications; Three (3) years of progressively responsible experience in recreational programs or special events.
Training, Licenses, and Certifications: Valid Class C Texas driver’s license
Preferred Qualifications: Government and/or municipal experience.
Disclaimer: Unless otherwise stated, applicants are permitted to substitute two years of related full-time experience for one year of higher education or one year of related higher education for two years of experience in order to meet the minimum requirements of the job. One year of full-time experience is define as 30 or more hours worked per week for 12 months. One year of higher education is defined as 30 credit hours completed at an accredited college or university.
Knowledge, Skills, and Abilities Needed & Environmental Factors and Other Physical Requirements
Knowledge and skill in the development and administration of pfestivals, special events and concerts.
Knowledge of policies, and procedures; of news and communication media; of editing and preparing informational material
Skill in utilizing a personal computer and associated software programs, including Windows, Microsoft Office, Adobe Creative Suite, and Social Media platforms and tools. (Facebook, Instagram, Sprout Social).
Ability to establish and maintain professionally effective relationships with external public/vendors, internal management and non-management employees, and City and other government officials.
Ability to create digital and print media, promotional materials, event maps, booklets and other event materials as needed.
Ability to communicate clearly and effectively, both verbally and in writing, as well as strong time and task management skills.
Ability to handle multiple on-going projects simultaneously.
Ability to develop, implement, and administer goals, objectives, and procedures for providing effective and efficient services for the City.
Subject to sitting and standing to perform essential functions in an office environment.
Must be able to lift up to 30 lbs.
Visual acuity, speech, and hearing; hand and eye coordination and manual dexterity necessary to operate office equipment
Regularly scheduled for 5-day, 40-hour workweek, Monday through Friday; overtime may be required to meet departmental deadlines or attend meetings. Schedule may be variable in order to accommodate required evening/weekend meetings and events.
