Who We Are Looking For:
The Program Coordinator is a full time position with a full range of benefits officed at the Oaklawn Activity Center. Will require days nights and weekends dependent upon program schedule. The position plans, implements and assists with a variety of large-scale, city wide special events and programs and oversees a comprehensive after school program.
What Winning Looks Like As A Program Coordinator:
Plan and implement a variety of Oaklawn special events and programs to include holiday programs, festivals, camp outs, youth/adults day programs, etc.
Assist the Program Supervisor in large scale Derby special events.
Partner with other city businesses and organizations to help implement other city wide events.
Research, develop and implement new events for the Oaklawn community of all ages.
Represent the Derby Recreation Commission at other special events.
Develop accurate and timely material as outlined in the Program Guide process. Work with Supervisors and Marketing Director in planning and implementing various marketing strategies.
Manage volunteers used for implementation of Oaklawn special events.
Manage and start business relationships with a variety of vendors including food vendors, equipment rental agencies, special services, bands, disc jockeys, and other special event-related service providers; seeks quotes and bids for a variety of services.
Work closely with administration, community leaders, business professionals and other community organizations in the delivery and coordination of Oaklawn special events.
Oversee and produce annual budget and capital improvements for all special event/after school-related expenditures and revenues.
Prepare annual budget, capital improvement and equipment needs for youth and teens recreation.
In charge of all purchasing for program related items and staying within budgetary guidelines.
Operate Derby Recreation Commission vehicles and other related equipment for special event production.
Responsible for hiring, screening, training, developing and supervision of youth recreation staff and instructors.
Responsible for overseeing the planning and implementation of the Oaklawn Activity Center after school program curriculum and summer recreation programs as assigned.
Responsible for overseeing the planning and implementation of the recreation portion of Summer Primetime, which is coordinated in conjunction with USD 260.
Responsible for maintaining KDHE requirements for staff and children.
Responsible for the KDHE state license renewal process.
Obtain and maintain KDHE Program Director credentials, including 16 hours of approved continuing education training annually.
Complete reports and create and give presentations, as required.
Perform other duties as assigned.
Attain additional training and education pertaining to this position.
Essential Job Requirements:
EDUCATION: Bachelor’s degree in recreation and parks management or other related management field.
EXPERIENCE: 2+ years experience in recreation or special events coordination. Experience with childcare and/or high risk youths is beneficial.
PHYSICAL REQUIREMENTS: Stooping, crouching, kneeling, walking, running, pulling, lifting, grasping, hearing, seeing close up, seeing far away, communicating, repetitive movements.
WORK ENVIRONMENT: Work is performed both indoors in an office setting and outdoors in varying weather conditions. The applicant should be comfortable working in extreme cold, heat, rain, wind and other unfavorable outdoor conditions during the implementation of special events.
Qualifications:
General knowledge of special event coordination, management and implementation. General knowledge of organizing and directing volunteers. Should possess good supervisory/managerial skills as well as teaching, oral and written communication skills. Ability to work with all levels of general public, administration, city leaders and community organizations. Ability to manage multiple large-scale projects concurrently. Ability to appropriately manage the physical demands of the position. Ability to work the high demand of nights and weekends this job entails. Ability to pass a KBI criminal background check.
Must be 18 and possess a valid driver’s license. Certifications in CPR/PR/First Aid/AED preferred (must obtain in the first 6 months of employment). Must obtain a CDL within the first year.
The Derby Recreation Commission is an autonomous governmental body governed by a five-member board. The board is appointed by the City of Derby (two members) the school board (two members) and an at-large appointment.
The Derby Recreation Commission operates the Derby Recreation Center, the Oaklawn Activity Center, and the Hubbard Arts Center. The DRC manages Rock River Rapids aquatic center, assist in the maintenance and rentals of High Park and Derby ballfields, maintains a bus/van fleet, and assist with various community projects.
The DRC offers more than 1300 programs and special activities annually. This includes a broad-spectrum including fitness, arts, sports, aquatics, culinary, special populations, and youth and adult recreation activities. It employs 31 full-time employees as well as 340 plus seasonal and part-time employees.
