Reporting directly to the Manager of Events/Rentals, Sport Camps and Scheduling, provides leadership and management for the evening and weekend operations of DAPER with a primary focus on planning, coordinating, and supervising events. Works in conjunction with MIT departments, students, coaches, faculty, and staff in the planning and management of their events. Coordinates event support services with all appropriate providers including catering, audiovisual, and custodial services. Establishes work assignments for staff, attends and supervises events, and compiles appropriate data on the usage of facilities relative to events and rentals. Works as part of the DAPER Facilities and Operations Team in the stewardship of department supported programs, services and buildings. Provides evening and weekend coordination and contact with the DAPER Facilities Team, Recreation staff, Intercollegiate Athletics, and Department of Facilities to provide high quality event, rentals, repairs, and custodial support.
General Schedule: Tuesday-Friday 1:30pm-9:30pm and Saturday 7am-3pm during the academic year, schedule subject to change based on facility and event needs, and during the summer.
Provide for the efficient operation of the DAPER facilities during evening and weekend hours in support of events, including scheduling of student and support staff to work on second shift and weekends.
Responsible for details related to both internal and external user groups, events hosted by DAPER facilities which include planning of events, coordinating event setups, breakdowns and administrative duties related to events and rentals. Position must coordinate event schedules utilizing scheduling software, maintain relationships with current rental groups, and develop new event revenue streams when possible.
Train and supervise appropriate event staff such as MIT student employees, gameday interns, and part-time temp staff. Provide staff with professional development and evaluations as appropriate.
Work in conjunction with the Assistant Manager of Evening and Weekend Operations to address day-to-day needs including setup, repair, maintenance and custodial support. Also work with the team to monitor and identify repair and replacement items within DAPER facilities.
Establish, maintain and improve customer service in assigned areas.
Provide coordination and response on safety and environmental issues facing the department during evening and weekend hours.
Responsible for implementing MIT’s Emergency Action Plan as necessary during events and facility supervision. Maintains responsibility for ensuring facilities and staff under their supervision meet all applicable EHS requirements including but not limited to regulatory compliance, compliance with MIT policies, required reporting, completion of required training, program documentation, and other EHS Management System requirements.
Complete all administrative and/or departmental paperwork necessary to enable the success of the evening and weekend programs and services offered in DAPER. Particular emphasis is placed on, but not limited to; the administrative responsibilities associated with DAPER intercollegiate events and rentals. Position is responsible for development and accountability for budgets, management reporting, coordination and planning, staffing, scheduling events in Mazevo, ticket operations at select events, parking coordination, etc. Liaise with visiting teams and officials.
Supervises activities with support for a high level of service and manages student staffing for all DAPER events.
Serve on DAPER and other MIT committees and coordinate special projects as assigned.
MINIMUM REQUIRED EDUCATION AND EXPERIENCE:
Bachelor’s degree in a related field required. Minimum 2 years relevant experience. Must have experience in or an in-depth understanding of athletics and recreation with direct experience functioning in support of events. Must have a valid driver’s license and current First Aid, CPR, and AED certification or be willing to obtain.
Additional skills and experience in employee supervision and computer operations are required, must demonstrate and practice effective communication skills both written and verbal. Attention to details and theirimpact are essential. Must have demonstrated experience and preference working collaboratively in support of shared goals. Must be willing to work a flexible schedule in support of the daily operation.
PREFERRED EDUCATION AND EXPERIENCE: Knowledge of NCAA sport-specific playing and timing rules, Daktronics scoreboards, and A/V equipment.
