Under the supervision of the Recreation Director, this position is responsible for the overall management of the facilities and maintenance operations at the Hudson Gardens & Event Center. This position is primarily responsible for leadership, day-to-day management and operation of staff, volunteer management, stewardship education, event contracts, custodial/facility contracts, visitor management, safety and security, and maintaining general needs of the facility. This position is required to work shifts ranging from morning to evening hours, weekends and holidays.
Essential Duties:
Responsible for the administration, supervision and coordination of projects that impact Hudson Gardens.
Plans and leads the daily operations and staff of the assigned area(s) within Hudson Gardens with a strong focus on delivering effective programs, services, and facilities.
Prepares and manages budgets, in cooperation with programming and event staff, the gift shop, Nixon’s Coffee, Nature Programs, Volunteer Programs, grants accounts, and capital projects. Evaluates monthly expense reports and manage budget information. Ensures all Program revenues meet or exceed expenses on an annual basis.
Supervises the rental, programming and various other rental production events, specifically related to outdoor event management within the entire venue.
Supervises the management of the volunteers and their associated stewardship education, interpretation plan including selection and marketing of programs aligned with the mission and goals, networking with schools and other stakeholders on curriculum direction, and focusing direction of nature program messaging.
Establishes and communicates the direction, performance standards, goals and objectives of assigned departments. Provides leadership in monitoring progress and providing feedback to ensure accountability for performance.
Prepares and maintains a variety of records, reports, plans and resource inventory. Investigates and pursues sources of additional funds for programming, facility development, and resource management programs including grants, sponsorships, donations, and partnerships.
Demonstrates appropriate financial management relative to costs, inventory, capital expenditures, personnel salaries, etc. Prepares, justifies, recommends and is administratively responsible for the assigned budget.
Oversee contracts within area of supervision and ensure all obligations are fulfilled.
Develops and oversees business plans. Tracks and analyzes data for trends. Ensures competitive analysis of events is completed yearly. Makes recommendations regarding fees.
Coordinates the Department services and activities with other District Departments and/or Divisions and with other local, State governmental agencies, and other community partners.
Prepares and monitors budgets, manages revenues and expenditures to be accountable to budget goals. Including interpreting and generating various financial reports. May prepare purchase orders, RFP’s, journal transfers, profit/loss reports, fee increase proposals and invoice requests.
Hires, trains, schedules, supervises and evaluates assigned staff; provides or coordinates staff training, regular staff meetings and works with employees to correct deficiencies.
Develops, implements, and tracks results of all marketing strategies to ensure the utilization; notifies the public of District events. Promotes a positive image to the public. Participate in community planning and organizational meetings.
Provides reports, studies and recommendations to the Director to justify needs of the divisions to support the Director in decision-making.
Initiates and manages broad scope special projects or initiatives of major concern or investment to the department or District.
Maintains labor and material cost tracking data and effectively delegates division goals, objectives and annual budget.
Develops and implements policy and procedures. Develops and implements or oversees customer service standards and training for department.
Responds tactfully and timely to inquiries and problems in person, by email, phone and mail providing helpful information and explanations in line with District policies and procedures. Professionally handles confrontational or stressful interactions.
Prepares, enforces, maintains and modifies policies and procedures manuals; conducts periodic staff meetings to provide and gather information, answers questions and responds to complaints and concerns, both internally and externally.
Attends and participates in staff meetings, trainings, and orientations.
Attends work on a regular, reliable and punctual basis
Performs long-range planning and establishing priorities for facilities and grounds maintenance, repairs and improvements. Develops and implements preventative maintenance programs.
Plans, coordinates and manages multiple short-and extended-term projects, including capital improvement and maintenance projects. Ensures successful completion on time and within budget.
Maintains and coordinates effective working relationships with managers and staff from other departments.
Implements and oversees contractors conducting improvement, maintenance or repair projects.
Maintains material safety data information.

Education and/or Experience:
A Bachelor’s Degree in Event or Facilities Management, or a related field.
A minimum of four (4) years progressive supervisory experience in facilities management including personnel supervision, capital project management experience, and landscape and buildings maintenance.
A combination of experience and education may be considered.
Licenses, Certifications, and Other Requirements:
Must possess a valid Colorado Driver License or obtain upon hire and maintain an acceptable driving record.
Necessary Knowledge, Skills and Abilities:
Significant knowledge of custodial and general maintenance practices and systems as it relates to operations.
Basic knowledge of mechanical and construction maintenance practices and systems as it relates to recreation center operations.
Knowledge of methods, materials and equipment used in the care and maintenance of grounds and landscaping areas is needed.
Ability to effectively manage and prioritize situations and goals to maximize available resources and problem solving skills in order to analyze complex problems and implement appropriate corrective actions.
Ability to establish and maintain effective working relationships, interacting in a friendly and professional manner at all times with others.
Ability to exercise sound judgment, flexibility, initiative and commitment in line with the current cultural and business environment.
Requires the ability to communicate both orally and in writing and execute oral and written instructions with understanding.
Must have proficient computer skills, including Microsoft Office.
Must be highly motivated and take direction well with excellent interpersonal and communication skills, both written and verbally.
Ability to work independently and with a team in a fast-paced and high volume environment with emphasis on accuracy and timeliness.
Ability to provide outstanding customer service and get along with coworkers, patrons, and supervisors and interact with employees and vendors in a professional manner.
Must be willing to work a varied work schedule which may include some evenings, weekends and holidays.
Ability to set priorities and make adjustments when the work load exceeds available staff capacities.
Ability to manage a multitude of projects and organizational priorities and negotiate contract elements with consultants and contractors.
Strong interpersonal and leadership skills.
Ability to express facts, data, and ideas clearly and concisely both verbally and in writing.
Material and Equipment Used:
Various office equipment / tools including but not limited to: computers, tablet, phone, mobile devices fax, printer, and Microsoft Office applications such as: Outlook, Word, Excel, PowerPoint, etc. This position may need to drive a District vehicle and/or a personal vehicle for business purposes. This position may occasionally need to operate a mower, use power tools or landscape maintenance equipment, apply pesticides and fertilizers (if appropriate certifications are held) and/or operate a snow blower or plow.
Working Environment:
Primarily works in an office environment subject to continuous interruptions and background noises. This position is required to drive a motor vehicle to various site facilities. Occasionally works in the field subject to variable weather and landscape. Occasional environmental conditions encountered may include loud noises, fumes, odors and exposure to various plants, molds and/or dust.
Physical Requirements:
The daily routine requires the ability to perform physical activities, such as, but not limited to standing, walk, sitting, bending, climbing, manually manipulate, reach outward, reach above shoulder, lifting, and kneeling. Will pull, push and carry loads of chairs and tables up to 50 pounds. May occasionally climb, crawl, squat, kneel and lift up to 100 pounds. Operate a motor vehicle and/or ATV. The employee must be able to see close up and at a distance with vision acuity and the ability to adjust focus allowing a broad field of vision. The employee must communicate clearly and effectively, must understand and be understood.
