The Contract Management Coordinator will perform analytical and technical duties in support of Parks, Recreation and Natural Resources (PRNR) goals and initiatives. This position will manage the central processing unit responsible for business operations, registrations, and reservations and serve as a liaison with employees, public and private organizations, community groups and other organizations. Job Description:
Proactively provides oversight and governance for primarily all PRNR (Parks, Recreation and Natural Resources) formal non-procurement contracts and agreements in compliance with policy and procedures. Contributes to the drafting, negotiation, and execution of new contracts, grants, and other legal agreements. Maintains records of contracts and other legal agreements, with focus on monitoring continual compliance. Performs routine reviews of all PRNR contracts and works with staff to ensure contractual compliance. Develops training to assist in the development of contract development and management competencies within PRNR.
Supervises the Business Operations and Systems Supervisor. Ensures department wide support and management of athletic field lighting and electronic door control systems. Proactively ensures the resolution of issues that impact department wide utilization of systems. Ensures staff provide accurate, complete and excellent customer service. Perform regular reviews of information to ensure proactive system management. Serves as a back-up to this position.
Administrative Agent/Contract Manager for Visit Sarasota County and the Arts Alliance of Sarasota County, Inc. Annual Agreements for Services which includes the development and monitoring compliance of the Annual Agreements, as well as all documentation necessary to receive Board of County Commissioner approval.
Represents PRNR as the interface with Procurement related to the Baltimore Orioles and Atlanta Braves spring training operations. Collaborates with Sports Development Program Manager to determine business needs with regards to CIP’s and coordinates solicitation development (bids, solicitations, quotes, etc.). Partners with Procurement to facilitate the development of solicitations; supports Stadium Project Manager in writing specifications and developing scopes; prepares bid forms; develops bid timeline/milestones; attends pre-bid meetings, bid openings, and post award meetings with vendors; develops contracts and term agreements and facilitates BCC contract execution and amendments. Supports the Sports Development Program Manager ensuring consistency and compliance with defined processes. Works collaboratively with the PRNR Procurement Liaison and Office of Financial Management in ensuring budget is sufficient for baseball projects and helps manage the budget process annually.
Independently develops and implements analytical studies and develops, compiles, and interprets statistical data. Develops conclusions and makes recommendations assisting the management team in decision making; interprets complex written information; prepares detailed and comprehensive written reports. Assists with special initiatives; provides project management support. Assists in the development of sponsorship/trade/business arrangements and relationships with businesses, individuals and organizations interested in supporting the PRNR. Cultivate and implement a business-based donor development program.
Work Hours:
Monday- Friday, 7:30am-4:00pm
*Work schedules may vary due to split shifts, rotations, on-call, emergencies, etc.: Typically,
Monday – Friday. Other days may be required.
About You:
Minimum Qualifications:
Bachelor's Degree from an accredited college or university in Public or Business Administration or a related social sciences field, and 5 years of professional government experience.
Master's Degree from an accredited college or university in Public or Business Administration or a related social sciences field can substitute for one year of required experience.
Valid Florida driver’s license
