Manages full-service Ticket Office and sales of Intercollegiate Athletics merchandise. Coordinates Intercollegiate Athletics merchandise sales and inventories, ticket sales, inventory and settlement and ensures adequate controls are maintained on cash and cash equivalents throughout the Ticket Office and all merchandise. Audits daily records of receipts, responsible for and manages change funds, and completes daily sales summaries. Provides a variety of reports on ticket sales, revenue, and merchandise. Select, train and supervise student employees who serve as ticket sellers in the ticket office. Provides excellent customer service as the primary ticket office representative. Job Functions/Percentage of Time/Duties 45% Ticket Sales
Provides advance and on-going sales for on- and off-campus Intercollegiate Athletics events. Manages box office and online sales. Responsible for the ticket selling locations and equipment. Ensures all equipment is in working order prior to events. Ensures off site facilities are in good working order. Serves as on-call supervisor for events as needed. Builds all events in the ticketing system in coordination with Associated Students and ensures all seat maps are up to date. Utilize and maintain complex ticketing platform system. Print and distribute tickets as needed, coordinate season ticket brochure distribution, and oversee seat assignments and processing of all Season Ticket requests and donations for Men's and Women's Basketball, Men's Soccer and Baseball. Attend all home Men's Soccer, Men's and Women's Basketball games, all sports' post season events hosted on campus and events at which large crowds are expected. Attend all away Big West and NCAA tournament and championship post-season events. Attends high profile fundraising/donor/community outreach related events to represent the athletic department, oversee ticketing services and respond to any questions and/or issues. Coordinate and supervise preparation of statistical reports such as individual game reports, season end reports, season ticket stats, sales reports, game attendance record. Provides sales and participation reports for all events and reconciles sales with income received. Follows up and notes any discrepancies. Works with Associated Students to coordinate sales and receipt of all revenue on a quarterly basis. Attends internal and external campus meetings to provide information on Intercollegiate Athletic events as needed.
20% Merchandise Sales, Ordering, and Inventory
Within budget, creates a base set of merchandise to sell at home Intercollegiate Athletic events. Orders and tracks all merchandise from point of delivery at the Ticket Office, to final destination, whether the item is sold, returned, or comped. Develops pricing schedule for all merchandise in coordination with the Business Office and the Director of Fan Engagement, Marketing, and Ticketing. Develops/maintains database to track all inventory. Tracks merchandise by monitoring movement; recording location in distribution database. Provides weekly reports on inventory distribution and sales revenue and net profit. Monitors aging inventory, markdowns and damage write offs. Facilitates merchandising of products; maintaining current displays and creating new displays as needed. Keeps pricing supplies ready by inventorying stock; requisitioning supplies; verifying receipt. Positions merchandise by moving boxes, bins, or hanging racks. Evaluates new items for sales potential and submits articles for review to the Director of Fan Engagement, Marketing, and Ticketing. Coordinates sales of merchandise with online store. Reconciles income with items sold. Evaluates store performance and makes suggestions on improvements, new items, or items to be discontinued. Operates credit card machine for payment. Follows all cash handling processes and procedures in accordance with department and campus policy.
15% Cash Handling, Internal Controls, and Compliance
Maintains proper documentation for all fiscal transactions in compliance with audit requirements. Ensures strict compliance with University Policy on cash handling and internal controls is maintained at all times. Assesses and manages risk within ticket office cashiering operations and recommends changes to improve internal controls. Balances, reconciles, and deposits all cash and cash equivalents, including credit card transactions on behalf of the entire department. Prepares and submits accurate financial journals to the Athletics Business Office for review and approval, and then submits to the campus Accounting Office. Deposits any funds at the Campus Cashiers Office. Responsible for the safekeeping and auditing of all change funds on a regular (minimum weekly) basis. Uses Point of Sales system to provide reports for daily and weekly auditing of ticket and merchandise sales. Responsible for maintaining a thorough and complete understanding and interpretation of institutional, NCAA, Big West Conference and Mountain Pacific Sports Federation Rules (MPSF) rules and regulations regarding ticketing to ensure compliance as relates to this position. This includes policies regarding complimentary ticketing procedures for players, coaches, staff, visiting teams, and any other relevant persons. Review policies with coaches to make sure all procedures are compliant. Accountable for ensuring complete compliance with regards to all ticket sale, with care to avoid any inadvertent violations that could bring sanctions against the teams and University. Ensure accurate records for financial reporting as well as institutional, conference and NCAA compliance are maintained. Independently responsible for reports and audits with regards to compliance to Conference rules and regulations. Interface with auditors during annual NCAA audits. Accountable for the accuracy of responses and information provided.
Hires, trains, and supervises approximately 10-15 student ticket sellers. Coordinates background checks, establishes work schedules, office policies and procedures and defines student staff duties. Oversees student staff to ensure that they meet their scheduled hours, sets priorities for them and monitors performance. Ensures student ticket sellers have received training in cash handling and security of funds, customer service and personal safety. Updates process manuals as appropriate. Reviews and approves student time cards.
10% Customer Service
Responsible for providing quality customer service to all stakeholder groups served by the ticket office, including everyone from major donors to first-time ticket buyers including the campus and local community. Responsible for unit delivering customer-friendly and efficient ticket sales opportunities through in-person, at-venue, phone and on-line sales vehicles. Answer inquiries regarding information, such as schedules, accommodations, procedures, or policies. Must be able to make quick decisions and deal with last minute problems effectively and efficiently. Must be able to deal with difficult situations and/or customers in a tactful and diplomatic manner. Uses best judgment to resolve customer service issues that arise at events. Makes on-site, timely decisions and find solutions to operational, programmatic and security issues. Liaison with other campus units: Campus Police, Community Service Officers, outside Security, Parking Services and Concessions. Represents the Athletics Department to the public with courtesy and diplomacy at all times.
