Position Description GENERAL PURPOSE Manages daily internal operations and administration of the athletics department providing while directly overseeing capital planning, facility and operations management, camps and outside rentals. The Senior/Associate Athletic Director serves as a member of the senior leadership team.
SUPERVISION RECEIVED Works under the general guidance and direction of the Director of Athletics.
SUPERVISION EXERCISED Supervises the Assistant Athletics Director for Facility and Operations, Assistant Director of Facility & Operations, Assistant Director for Equipment and Event Management, and sport supervision for assigned sports.
OPERATIONS & ADMINISTRATION Serves as a member of the senior leadership team. Manages daily internal operations and administration of the athletics department.
Responsible for game and event management, as well as fan and player experience, for all home athletic contests. Oversee all logistical aspects of game day preparation for all sports.
Hire, train, and supervise game day staff. Manage scheduling and hosting of officials and visiting teams.
Manage team game and practice scheduling to adhere to institutional, conference and NCAA policies.
Responsible for the scheduling and maintenance programs and capital projects for campus athletic facilities.
Establish policies and procedures for ADA, emergency management, and facility access. Implement and enforce game day, conference and NCAA policies. Oversee equipment management.
Serves as department liaison for Public Safety, Facilities, Grounds, WFF, concessionaire, Conference and Event Services and University Recreation as well as outside vendors for facility rentals.
FACILITIES AND CAPITAL PROJECTS Manage and track facility maintenance, facility usage, and recommends and implements policies and procedures to ensure best practices for facility usage with university recreation and campus facilities.
Implement and maintain an efficient, effective, and user-friendly 12-month scheduling system for all athletic facilities to include intercollegiate, summer camp, and college event usage and outside rentals.Manage access for all athletic facilities.
Manage contracts and relationship of offsite leases and rentals for all teams.
Develop and execute facility master plan and all capital projects in conjunction with campus facilities.
SUPERVISION AND BUDGET Responsible for hiring and management, Assistant AD, Facilities and Operations, Assistant Director of Equipment and Event Management, graduate assistants and game day event staff. Ensure exceptional customer service through recruiting, hiring and supervision of temporary and student staff to support athletic and outside events in all athletic venues. Sport supervision as assigned.
Manage the budgets for event management, facilities, capital projects and concessions.
RENTALS AND CAMPS Oversee all aspects of Seattle U Athletic Camps scheduling and policies. Work with campus legal to create contracts for outside user trainings at Seattle U facilities. Maintain top quality facilities and manage relationships to increase rental revenue.
CHAMPIONSHIPS Serve as Tournament Director for all WAC and NCAA post-season tournaments. Submit thorough and competitive RFP's to governing bodies as directed. Create and implement staffing plans, host Championship site visit, develop tournament participant manual with the Conference office, develop facility plan, and assist Conference staff with venue set-up, and collaborate with safety and security, sports, medicine, media relations, etc. Coordinate with ticketing and marketing and promotions to ensure strong tournament fan attendance.
OTHER DUTIES AS ASSIGNED Represent and promote the university and athletics at appropriate alumni, community and university functions. Serve on campus, conference and NCAA committees when requested or appointed. Other duties as assigned by the Director of Athletics.
TRAINING AND QUALIFICATIONS Bachelor's Degree required. Minimum of five (5) years of combined professional experience in event management and facilities. Excellent communication, organizational and interpersonal skills required.
Extensive experience in managing small to large crowds. Excellent problem-solving skills. Proficiency with Microsoft Office and Adobe Creative Suite (Photoshop and InDesign). Strong leader and mentor skills, particularly with college students. Must be able to work a flexible schedule; evenings and weekends are required. Compliance with the rules and regulations of Seattle University, the NCAA, Western Athletic Conference and any other governing body of importance to the University.
PREFERRED QUALIFICATIONS Master's degree in Sport Management/Administration. Knowledge of scheduling and access software, JumpForward, Tricaster and related audio/visual equipment and scoreboards preferred. Financial management and budgeting experience. Experience working in Division I college athletics department.
