Associate Director of Facilities and Maintenance

• Administers and monitors facilities budget including revenue, forecasting, replacement costs (annually and long term), maintenance, custodial services, utilities, capital budget recommendations, including analyzing system upgrades and alternative systems.
• Participates in planning and coordination of programs and policy.
• Develop, manage, and assess procedures and recommend policies that will ensure the safe and effective day to day operation of facilities.
• Develop and manage Facility use plan including policy and procedures for priority reservation system for department and external reservations.
• Coordinate critical department activities with other university and off campus areas.
• Responsible for overall appearance, cleanliness and safety of the facility.
• Make and manage key assignments.
• Provide risk management oversight for department operations and creates/implements procedures to ensure the safety of participants and employees.
• Research and request grants.
• Ensure safety guidelines are adhered to.
• Manage all facility signage and postings.
• Oversee master calendar.
• Analyze and synthesize current policies and procedures from other UC Campus Recreation programs to keep abreast of current trends in facility management and maintenance.

• Serve as Aquatics Manager back-up as needed.

• Develop and Implement lifecycle replacement schedule for interior spaces, including lockers, office furniture, carpet, paint, etc.
• Develop and implement lifecycle replacement schedule for activity spaces including tennis court resurfacing, basketball court resurfacing, dance studio floor resurfacing, martial arts mat replacement, fitness equipment replacement, etc.
• Direct the development of short and long term maintenance plan for turf and grounds. Work collaboratively with Physical Plant and Maintenance Supervisors to implement requirements.
• Develop custodial needs procedures including emergency, daily, weekly, quarterly, and yearly service; working with Physical Plan as necessary.
• Ensures all systems, including mechanical, electrical, plumbing, and fire protection, meet University and organization standards.

• Direct project management for major renovations projects, including interior, exterior, sports fields, aquatic plaza, and grounds.
• Coordinate renovation projects with campus entities including Physical Plant, Physical Planning and Construction, off campus contractors and consultants to ensure compliance with project specifications.
• Monitor and report all phases of planning and construction.
• Review contract plans and specifications to ensure conformity to departmental needs.
• Review change orders and requests for information.
• Coordinate punch list development, review and approval of completed renovation.
• Develop new operational procedures for appropriate use of renovated facility.

• Serve as Disaster Coordinator.
• Develop and Implement an Emergency Response Plan.
• Ensure all employees and department remain up to date on all training needs regarding safety and emergency management mandates.  Order and ensure all First Aid and AED supplies are kept fully stocked.  
• Oversee the implementation of campus safety and IIPP.  
• Consult and coordinate with campus units such as Dean of Students, Judicial Affairs, and Risk Services.

• Hire, supervise, and schedule and evaluate Aquatics Manager, Maintenance Supervisor, and Head Coach positions (2).
• Ensure staff is adequately trained on relevant policies and procedures, Risk Management Plan, Emergency Response Plan, and Communication Plan.
• Ensure staff is trained on Principles of Community.
• Mentor and develop subordinates.

• Prepare annual reports including, but not limited to demographic/statistical data, assessment results, challenges, and recommendations.
• Meet regularly with other personnel to establish collaboratively to develop a culture of trust, respect, and department vision.
• Support Director with the implementation of special programs and projects.
• Participate on various committees as requested.
• Other duties and special projects as assigned.
• Pursue professional development opportunities to maintain current with UC & NIRSA standards.

• Education: Bachelor's degree in related area and / or equivalent experience / training.
• Strong skills to facilitate and collaborate with various internal and external constituencies on short- and long -term facilities planning and management projects.
• Strong analytical, research and report preparation skills to meet regulatory and budgetary reporting requirements.
• Demonstrated experience supervising staff, organizing work flow, delegating responsibility, training, evaluating work performance, and administering necessary discipline.
• Strong skills in management, regulatory compliance and operations planning.
• Strong skills in verbal and written communications.
• Experience and knowledge to inspect construction in progress (general and specialty structures) and read, sketch and interpret plans and specifications.
• Broad knowledge in the areas of facilities management, space planning and allocation, security, fire and safety and emergency preparedness, including knowledge of pool operations.
• Knowledge of program activity and industry best practices.
• Skills to deliver highly effective service orientation, program management, and make sound decisions using good judgement; able to use critical thinking skills to develop original and creative problem solving ideas in a varied and challenging environment.
• Demonstrated fiscal management abilities.
• Client service minded entrepreneurial spirit and creative thinking skills.
