Assistant Athletic Director, Facilities & Operations

The Assistant Athletic Director of Facilities and Operations will serve as a member of the athletic department’s executive team and will report to the Director of Athletics. The position is responsible for oversight and performance of a range of activities for the athletic department; serves as a professional liaison with the NCAA, conference members, other departments and external constituencies in the resolution of a variety of day-to-day matters concerning athletic events, team schedules, and/or travel arrangements. Founded in 1852 by the Society of Mary, Marianists, St. Mary’s is a comprehensive Catholic and Marianist university with a strong tradition of integrating liberal arts with professional studies. ESSENTIAL DUTIES AND RESPONSIBILITIES: •Coordinates with campus service providers for necessary program support services; including, facilities arrangements (program/facility set-ups), maintenance or building service’s needs, and other services. Submits and processes all work orders for events, maintenance and repairs. •Assists with departmental operating budget; establish and monitors budgets, tracks event expenses and event progress; updates timelines and game-day protocol sheets; and facilitates briefings. •Coordinates all home game event activities and technical needs. Assists with all aspects of events including customer service, crowd control and staff issues. •Conducts pre and post-event set-up and tear down of facilities, grounds and equipment associated with athletic events; supervises, plans and prepares equipment set-up and take-down for practice, scrimmages and games. •Coordinates the scheduling of all athletics facilities for athletic practices, games and outside events hosted by the University. Creates and distributes visiting team guides and/or pertinent game day information; coordinates practice time and walk-through requests with home and visiting teams. •Inspects athletic facilities, courts, fields, courts, outdoor track/bleachers, and other outdoor facilities on a daily basis and performs routine maintenance/cleaning such as windscreen repairs, trash removal, air blowing leaves and debris. •Serves as liaison for internal departments, outside community/agencies vendors and designated Athletic Apparel Sponsor/Contract (Nike/Eastbay). Represents the department at NCAA, Lone Star Conference, and as requested. •Supervises, plans and develops all work schedules, prepares and submits payroll for assigned staff. Directs, schedules, trains and evaluates graduate assistants, student workers, and interns. •Participates in an annual inventory of capital equipment and athletics facilities. Maintains records and provide reports as required by the Bexar County Community Venues Program •Follows University and athletics guidelines in the purchase of all equipment and services. Reviews and verifies correctness invoices for payment. Reconciles all shipping and receiving of equipment and apparel. Inspects deliveries for proper quantities and to see that it conforms to prescribed specifications. •Ensures compliance with all NCAA and Lone Star Conference rules relating to equipment operations •Performs other duties as assigned. EDUCATION: Bachelor’s Degree required QUALIFICATIONS: •Three or more years of experience in a collegiate athletics department, a community or campus recreation program or with a professional sports organization; experience as a collegiate student-athlete or professional internships in collegiate athletics apply •Must maintain a valid driver’s license, motor vehicle liability insurance and personal injury insurance, and be able to complete the University Van Driver Training within 90 days of employment date. •Must clear and maintain a favorable background investigation and clearance •Must be able to work flexible hours including sporting and non-sporting events that may occur on weeknights, weekends, and possibly holidays. •Occasional travel may be required •Experience with facility operations and scheduling in multiple venues with large crowd capacities •Knowledge of basic NCAA rules and legislation •Strong communication and organizational skills and a demonstration of a service-oriented and cooperative spirit •Proficient in Microsoft based applications •Professional demeanor and ability to work effectively with various constituencies including students, faculty, administrators, and the general public Closing date: 2/12/2021.
