SUMMARY: Under general direction of the Recreation Manager, this position manages the administrative work and supervision of the Guest Service and KidZone staff, manages Guest Services and KidZone operations and safety at all locations, and oversees the customer service of patrons and staff.
ESSENTIAL FUNCTIONS OF THE JOB: Manages guest services and KidZone operations: • Plans, implements, coordinates, supervises, promotes, and evaluates front desk, facilities and KidZone operations; which include but are not limited to promotional memberships and sales, cash handling, child sitting, and customer service policies and procedures. • Develops, coordinates, implements, supervises, monitors, communicates and promotes the District's offerings and events for all ages and abilities to meet the community's needs, and assists with developing and coordinating advertising and media efforts. • Oversees and monitors program registrations accessibility and user friendliness to the community with participation and feedback from front desk staff. • Analyzes trends and evaluates changing community needs; makes recommendations to improve operations and expand participation. • Communicates openly and effectively with supervisors, co-workers, staff, participants, parents, volunteers, contractors, and other community members. • Analyzes, forecasts, prepares and monitors budgets and financial information with the assistance of the Recreation Manager. • Oversees general recreation center facility rentals and reservations; to include the Multi-purpose room, gymnasium, lobby, and all other non-athletic fields and swimming pool functions. Responsibilities to include, but not limited to; receiving reservations, customer relations, payments, staff scheduling, room set-ups, room take-down, etc. • Assists and coordinates special projects and events on behalf of the District as needed and assigned.
Knowledge, Skills and Abilities: • Proficient knowledge of current principles, practices, trends and methods of municipal fitness program planning, policies, procedures, development, implementation, promotion and coordination. • Ability to negotiate, prepare and oversee contracts. • Ability to read, analyze, and interpret professional journals, technical procedures, and/or governmental regulations. • Knowledge of management and budgeting principles and practices. • General knowledge of recreation software functionality and administration. • Ability to exercise initiative; make sound, independent, and timely decisions; and apply knowledge, data and common sense to solve routine and non-routine problems.
Administrative and supervisory work for the guest services and KidZone staff: • With assistance from the Recreation Manager, recruits, interviews, hires, trains, schedules, supervises, evaluates, develops and disciplines staff, contractors and volunteers to ensure safe and effective services. • Conducts staff meetings and oversees customer service and software trainings. • Maintains risk management standards to include certifications and cash handling standards as well as accident/incident report tracking. • Models appropriate behaviors and handles complaints and disciplinary problems involving patrons or staff in a professional manner and adhering to district policies and procedures. • Works closely with all District employees to ensure applicable information is relayed to all guest service and childcare staff. This may include sharing information with the public and answering questions. • Serve as a member on departmental committees as assigned.
Knowledge, Skills and Abilities: • Proficient knowledge of the recreation membership programs in order to provide training for subordinate employees. • Ability to work with a variety of age groups; effectively supervise the work of a variety of individuals. • Knowledge of effective supervisory techniques. • Ability to establish and maintain effective and professional working relationships with supervisors, subordinates, peers, Town/City staff, other agencies, community representatives, and the general public.
Managing guest services and KidZone facility operations and maintenance: • Manages the daily operations, cleanliness and maintenance of guest services, facilities and KidZone. • Reviews, inspects and ensures routine maintenance for facilities, equipment operations for safety hazards and other potential problems. • Coordinates the maintenance week for the guest services and KidZone areas. • Interprets, communicates, and enforces all Department, District, County, State and Federal policies and procedures within areas of responsibility. • Manages guest services and KidZone equipment and supply inventory. • Works closely with the Facilities Maintenance department to ensure the facilities are maintained and in working order. • Acts as the Manager-on-Duty as needed. • Performs emergency or non-emergency situations in a composed manner using sound judgement.
Knowledge, Skills and Abilities: • Proficient knowledge of the equipment, facilities, operation, and techniques used in a recreation center and to be able to identify and/or recommend maintenance, improvements and repairs. • Responds to emergency or non-emergency situations in a composed manner using sound judgment
• Bachelor’s degree from an accredited college or university with major course work in Parks and Recreation, Physical Education, Liberal Arts, or closely related field. Progressively responsible experience in a related field may substitute on a year-for-year basis for the bachelor’s degree requirement. • One year of customer service and staff management experience. • CPR/AED and First Aid certification or similar certification through a nationally accredited organization or ability to obtain within 90 days of hire.
