Role: The CMA Community Association Manager’s role is to effectively manage and successfully execute the business processes of the Association day-to-day operations in absolute accordance with CMA policy, procedure and current law. The CMA Community Association Manager’s role is to provide leadership to the Board of Directors to encourage Board policy decisions that align with the Board Members’ fiduciary responsibility to the Association and reduce Board Members’ risk.
Profile: As the Community Association Manager for CMA’s Association Clients, the position will require skills and expertise in annual budget preparation, financial analysis and income statement management and disciplined project management. In addition, the Manager must be able to multi-task, communicate orally and in writing, and provide leadership skills in communicating with the Board of Directors for the Association.
CMA utilizes a functional organizational structure to support the internal company business processes and the CMA Community Association Manager must be effective in working across functional departments to manage and adhere to the Association business processes.
Read, comprehend and be knowledgeable of the CMA contract with each assigned association and adhere to same.
Read, comprehend and be knowledgeable of the dedicatory documents of each assigned association and adhere to same; maintain the dedicatory documents in accordance with CMA policy.
Complete new association setup per CMA procedure and timelines.
Coordinates with insurance agent to ensure coverage for the association is in place as required by dedicatory documents.
Conduct field inspections for assigned associations for maintenance of common area assets completing Asset Inspection Reports per CMA policy.
Facilitate maintenance of common area assets to association standards.
Facilitate transition inspection per dedicatory documents, industry best practices and/or requests with appropriate representatives when maintenance responsibility is conveyed to the Association from a Builder/Developer.
Qualify potential contractors in accordance with CMA policy and evaluate the performance of all outside service contractors.
Manage the RFP/Bid spec process per contractual requirements. Write and/or coordinate development of bid specifications with a defined, Board approved scope of work for service contracts and special projects in accordance with CMA procedure; solicits bids for repair work as necessary and presents bid comparison data in accordance with CMA policy and procedure.
As appropriate, recommend CMA approved Board policies and ensure all Board approved policies are recorded in accordance with dedicatory documents and state and federal law.
Coordinate with CMA compliance staff in the enforcement of dedicatory documents, including correspondence with violators, maintenance of accurate records, and timely follow through. Approves violations and fines for processing per established deadlines.
Coordinate updates to management certificate and resale certificate package as required.
Participate in emergency cell phone rotations.
Maintain good rapport with Board, Property Owners and Committees, responding promptly to their requests in accordance with CMA policy.
Adhere to corporate service inquiry procedure by noting accounts in a timely manner.
Coordinate with Administrative staff to update the content of association information as needed, such as CINC, Information e-booklets, websites, etc.
Provide support for committees per contractual requirements.
Attend and oversee the coordination of the annual meeting with the Board, including preparing meeting notices, meeting packet, PowerPoint presentation and reports.
Consistently educate members regarding the association and members’ responsibilities to the association.
Act as a resource for community lifestyle event ideas. Submit articles for newsletter (if applicable).
Coordinate and attend Board of Director meetings, per contractual requirements.
Prepare monthly, quarterly, or annual management reports for Board meeting packet and prepare annual status report for assessment mailing.
Complete new Board Member Orientation per CMA policy and procedure.
Respond to all CMA staff in a timely manner.
Develop annual operating budget in accordance with CMA procedures and timelines.
Manage overall operating expenses in accordance with budget.
Approve all check requests and invoices and submit for payment in a timely manner and in accordance with CMA policy.
Review and approve all financial reports, prepare variance reports and present financial reports to the Boards within CMA accepted timeframes.
Coordinate with the Accounts Receivable department and Board regarding collection activities.
Coordinate with the Accounting department to assure reserves and excess operating funds are properly transferred and invested per Board directive.
Coordinate with the Accounting department for associations’ tax return preparation and performance of annual audit per Board directive.
Other diversified duties as deemed necessary to fulfill the CMA Company Mission Statement.
