Under the Assistant Director of Recreation, this position performs various supervisory, administrative, and management work directly related to the operations, programs and services offered at the Seaview and Phipps Tennis Centers of the Town of Palm Beach. Duties include daily pro shop management, promotion of tennis programs and events, coordination and management of various service and staffing contracts, and overall facility management. The position has the authority to implement operating procedures and policies with limited direction that enhance services, increase participation, ensure maximum cost recovery, controls expenses, and assures ample staffing for all services rendered. Responsible for designing, planning and implementing tennis programs to include special events and clinics with a major focus on planning and developing a comprehensive Tennis Program in conjunction with the contractual tennis staff.
Must be able to work a flexible schedule, collects fees and monitor daily deposits. Shall maintain accurate records, program use statistics, and financial data used to develop tennis program reports. Work is performed with a high degree of independence and initiative, requires independent judgment and self-direction under the direction of and with guidance from the supervisor.
Directs and supervises the activities of assigned budget approved staff, including any contracted staff. Makes recommendations for disciplinary actions, hiring, and termination of assigned personnel or changes to contracted staffing.
Prepares performance evaluations and conducts evaluation interviews for regular budget approved staff.
Schedules work assignments that ensures the facilities are effectively supervised and secured, and provides technical training to all staff.
Administers expenditures and revenue collection for the tennis facilities includes but it not limited to handling daily deposits, transactions, collection of fees, and managing passes.
Diplomatically handle complaints and enforces rules and regulations concerning proper facility use.
Answer general inquiries from the public about the availability and use of equipment, facilities, court times/reservations and programs in a manner that enhances the customer experience.
Establish and maintain Tennis pro contract(s), ensure accuracy of attendance and lesson records, collaborate with contracted pros to develop a variety of programs that enriches services within an effective cost recovery model.
Develop, promote, and coordinate a variety of tennis related community special events, programs, tournaments and clinics for all age groups and interests. Shall provide event instruction and/or assist in conducting related activities.
Develop and maintain content promoting all tennis programs through social media, website, news releases, flyers, newsletters, brochures and presentations using a unified branding department image.
Coordinates with USTA and other local organizations and community partners for local tennis tournaments.
Implement and maintain tennis club management software for court bookings, clinics, payments and related center operations.
Requisition and maintain supplies and equipment, issue equipment, ensures proper use and care of equipment, and record use of services and/or equipment and related fee collection as required.
Accurately maintain inventory, track sales, purchase items in accordance within established procurement procedures, and display items to be sold in the pro shop.
Schedule use of facilities upon request, collect fees, and conduct program registration and reviews and/or prepare refund/transfer requests.
Oversees tennis projects and provides information and project specifications for bid documents. Project bidding and implementation is accomplished in coordination with the Assistant Director of Recreation.
Coordinate and oversees with maintenance staff the maintenance of sites/facilities and perform maintenance duties when necessary, including maintenance of clay tennis courts.
Assist with budget preparation and monitor tennis facility budget and expenses.
Remain on-call after regular hours including weekends, nights and early mornings.
Minimum and Preferred Qualifications:
High School degree and/or GED required; college coursework including completion of a Bachelor's degree program from an accredited college or university with major course work in Recreation Administration or a related field preferred.
Five years of related experience including the full performance level in a public or private recreation facility with at least two years of supervisory experience required.
Must possess and maintain a valid State of Florida driver's license within 30 days of employment.
Must have a minimum competency level for the following programs or their equivalent: MS Word, MS Excel, and MS Outlook. Knowledge of MS Publisher and MS PowerPoint, or equivalent, preferred.
Experience using Tennis club management software for court bookings, clinics and payments strongly preferred (e.g. Kourts or similar).
Experience presenting information and/or public speaking preferred.
Certified Parks & Recreation Professional preferred.
