This position will be primarily responsible for coordinating, scheduling and facilitating citywide and school athletic facility rentals, events and practices which includes proper permitting, fee collections, reservation scheduling, logistical and maintenance support for all athletic programs and any other community program coordinated with use of school property. Other duties include, but are not limited to:
Supervises staff, including recruiting, interviewing, selecting, training, assigning, scheduling and evaluating work, counseling, and may include disciplining and terminating.
Develops policies, procedures and processes for all citywide athletic events and community school events including maintaining a comprehensive reservation permitting system, ensuring insurance and eligibility requirements are met. Verify rosters, security and custodial needs are met, staff coverage, food and beverage permitting, etc. for activities.
Accounts for funds received from rentals and tournaments and in school property use, completes and maintains detailed schedules, records and reports.
Develops and presents budget requirements; oversees and approves expenditures; recommends and oversees projects and enhancements, prepares financial forms and reports.
Interacts with the public and other agencies, in person, by telephone, email and social media to obtain and provide information in a variety of circumstances with discretion and professionalism. Responds to inquiries and complaints relating to facility reservations and community school use, provides information on policies and procedures. Coordinates agencies such as Chesapeake CVB, Chesapeake Public Schools, Chesapeake Conference Center, Hampton Roads Sports Commission and other community partners to bring in regional and national athletic events to Chesapeake and act as a direct liaison for these events and activities.
Assists with developing short and long-term strategic goals pertaining to planning, development and operational processes for all athletic reservations, both revenue and non-revenue based.
Gathers and maintains information for area of responsibility to support periodic and special projects and reports documenting activities and events, program and facility needs.
Oversees facility rentals, assists with coordinating athletic and recreational maintenance, repair and construction activities, portable toilet placement, monitors and maintains athletic amenities, supplies and equipment.
Develops policies, procedures and processes for all citywide athletic events which includes extensive collaboration with Chesapeake Public Schools and community partners and a comprehensive reservation and permitting system of all reservations and rentals.
Attends or conducts staff and other professional meetings to exchange information; attends professional seminars or conferences to improve professional skills. Makes presentations to city organizations and groups to inform citizens of available programs, activities and special events.
Reviews and negotiates contracts and approves reports, invoices and payroll; authorizes and schedules rental requests for various facilities, establishes staff schedules to monitor and implement activities.
Coordinates citywide field, auditorium, room and gymnasium usage between city programs, school programs, community groups, athletic leagues/associations, as well as a number of cosponsored and private organizations.
Supports other divisions and will be required to work other department-sponsored events.
Requires a bachelor's degree in physical education, sports/recreation administration, outdoor recreation or a related field.
Requires a valid driver's license and a driving record that is in compliance with city driving standards. CPR and First Aid certification are preferred, must be obtained within 6 months of employment and renewed every 2 years. Requirements determined by area assigned.
This position requires a minimum of two years of directly related full-time equivalent experience in the field, to include at least one year of supervisory level responsibilities.
Customer service experience
At least 1 year experience in facility management, permitting, logistics and scheduling.
Experience in training, recruiting and managing staff.
Experience with use of Excel, Word and Outlook
Knowledge and experience in athletic and recreational programming.
College BS or BA degree in business marketing or management, tourism or sports management, interdisciplinary studies, education, communications, etc. are acceptable comparisons.
The position will require incumbent to adhere to a flexible work schedule that will include days, evenings, weekends and some holidays.
