The Coordinator for Member Services is a full-time position (12 month) that provides for the effective day-to-day supervision and implementation of programs and services for Campus Recreation. Specific responsibility for member services includes oversight for the front desk, registration, equipment check out, massage therapy and corresponding customer service supervisory staff. A critical component of this position includes the use and understanding of the department’s recreation software. Coordinators are responsible for hands-on operations including personnel supervision, guest services, facility and equipment operations and maintenance, cash handling, delivery of programs and services, safety and risk management. This position coordinates hiring, training and supervising staff who oversee customer service functions and services. The position requires representation of the Department of Campus Recreation in a fair, consistent, cooperative and positive manner in accordance with Department and University policy. The position reports to the Assistant Director of Facilities and Member Services.
Duties and Responsibilities:
Provide supervision for the Member Services program designed to achieve the Campus Recreation vision and area goals. Areas of oversight includes front desk operations, registration services, membership sales, locker rental, towel and laundry services, equipment check-out, massage, and retail sales.
Ensure Member Services staff are trained in the use of the recreation software package. Ensure Member Services staff are trained in policies, procedures, and all of Campus Recreation programs. This ensures accurate registration and enrollment processes and procedures are being followed.
Plan individual service offerings and design activities intended to meet guidelines set by leadership staff on participation targets and financial parameters.
Assist with the annual budget submission. Provide financial supervision necessary to achieve budget targets, carrying out best practices in financial stewardship.
Staff supervision including hiring, training, scheduling, feedback, evaluations, payroll and disciplinary processes for ancillary, student and volunteer staff. The development and engagement of student staff is an emphasis.
Develop or update necessary emergency procedures, safety practices and risk management processes in conjunction with administration and the department risk management committee.
Under the guidance of the Assistant Director and department marketing staff, implement publicity strategies to maximize program participation. Conduct outreach efforts in order to increase awareness and visibility of the program.
Ensure the highest possible level of customer service in order to provide exceptional experiences.
Implement program assessment tools to assess market needs and interests, participant satisfaction and overall program feedback. Report on results, including strategies for process improvement.
Execute equipment and supply purchasing within budgetary parameters according to UA policies.
Inventory and maintain all equipment and supplies to ensure quality, safety and security.
Provide ongoing, monthly, semester and annual updates on pertinent measures of success, including participation, assessment data, financial status, and area happenings.
Develop and maintain relationships with Campus Recreation, the University of Arizona and Tucson community as necessary to achieve program success, collaborations and partnerships.
Development and maintain positive relationships with current and potential participants and alumni in order to maximize program success.
Ensure proficiency in Campus Recreation and University of Arizona policies, procedures and processes.
Engage in Campus Recreation, University of Arizona and pertinent industry training and development opportunities.
Bachelor's degree in recreation, sports management, higher education, physical education, public health or a related field.
Two years of administrative/coordinative level experience in membership and/or customer service operations.
Valid driver’s license upon the first day of employment with a minimum of two years driving experience.
Upon hire, CPR-PR, AED, First Aid and Blood Borne Pathogens certification training will need to be completed.
Master’s degree in recreation, sports management, higher education, physical education, public health or a related field.
Two years of staff supervision experience, including the development of student staff.
Demonstrated experience with software packages.
