Reporting to the Associate Director of Operations, Events, and Facilities, the Athletics Operations Associate for the Charles E. Smith Center is primarily responsible for assisting the director in successfully managing the setup and execution of all intercollegiate, campus and external events held in the Charles E. Smith Center, as well as assisting the Senior Athletics Operations Associate for the Mount Vernon Athletic Facilities and Barcroft Park in managing events for that campus.
The incumbent is responsible for the following duties:
Coordinates facility usage (rental and event operations) and student event staff.
Is responsible for coordinating and executing logistical set-up/take-down and event coverage for all department events, including but not limited to intercollegiate, University, external, club, camp, or clinic events with internal operations staff.
Provides general/routine building and equipment repair.
Assists Associate Director with capital and special project coordination (e.g. facilities upgrade, major repairs, etc.).
Sets up rooms for practices, games, classes, and events alongside student staff.
Assists the Senior Athletics Operations Associate of Mount Vernon Athletic Facilities and Barcroft Park with event management.
Facilitates and manages facility rentals, processes payments, and works with external vendors.
Serves as the primary point of contact and independently manages intercollegiate and non-intercollegiate events.
Serves as the primary point of contact with external vendors for all contract and rental agreements between all internal and external groups requisition use of our facilities as well as teams, club and/or clinics wishing to use the athletic department facilities.
Manages the overall revenue tracking, payment billing, process/tracking, deposit, and confirmation of budget deposit.
Responsible for maintaining annual projected budget for potential events, camps, and clinics.
Researches and executes strategies to increase revenue.
Oversees and coordinates sports camps for all varsity sports teams.
Acts as the Athletics Department’s Backup Timekeeper, processing timesheets for payroll for all non-exempt personnel (full-time, part-time, temporary, student, etc.).
Qualified candidates will hold a Bachelor’s degree in an appropriate area of specialization. Degree must be conferred by the start date of the position. Degree requirements may be substituted with an equivalent combination of education, training and experience.
Experience supporting a Division I athletics department
Experience managing/supporting Events, Facilities, or Operations for an athletics department
Excellent interpersonal skills
Proficiency in Microsoft Office (Word, Excel, the Internet, E-mail) and in using standard office equipment
Ability to demonstrate effective communication skills both orally and in writing
Ability to analyze and interpret policy and procedural questions
Ability to research and resolve office management problems and questions
Ability to organize workflow, coordinate activities and prioritize workload
